OMAD Minutes Aug 13 - 6:00pm
 
 
We welcomed Cheryl Engl from the Civil Air Patrol and Matt Rybka.
 
We still are not getting a lot of people coming to the meetings. We would really like
to see some of our Legion members come out and help us get the Blue Star Ceremony
organized. Amvets and VFW we hope you have not forgot about us. I did receive a email
from Michelle Crohn Amvets Commander and she was out of town and unable to make it.
We know everyone is busy with there own clubs, but remember the OMAD event will be
bringing all veteran members and non members together to one event. Your membership
could benefit from OMAD.

Vice Coordinator- Karen Gummer
  • Monroe Co. Fair booth went over well. We got 107 names of Veterans that signed up to be invited to OMAD. This was a wonderful out come. We made approx $100.00 in donations. We were not able to cover the cost of the booth.
  • Next OMAD event: We will be selling hot dogs in Lowes parking lot on Oct 6.
  • We voted not to do the Fall Festival Parade, but Karen is checking to see if we they will donate a booth space to OMAD. The cost of the booth is to much money, but if we can get a booth donated we will set up a booth to get the word out about OMAD.
  • Karen applied for a grant from Monroe Co. Foundation to help OMAD with expenses.
  • Karen has comfirmation on a Fleet of Helicopters to fly over the day of OMAD.
  • Jenny Tracy is going to contact Deadra about the publicity rules for Casey Mears.
 
OMAD Chairperson- Jenny Tracy
  • Jim Davis is filling out the paper work to get his name on the brick to be placed in the wall at Monroe Co. Fairgrounds memorial.
  • Mickey Hammer is sending Jenny a different email address for Peggy Welsh.
  • Jenny is contacting Peggy Welsh about writing a welcome letter, and to see if she would be able to talk to other politicians to see if they would come and speak at OMAD.
 
Operations- Stephanie Ayers
 
We went over the timeline for August.
  • Yard signs and Banners need made up. Jenny made a list up of printing shops to be contacted to see if they would donate signs. We hope that we can get some printing companies to make some similar yard signs to what we had last year.
  • Mickey Hammer is checking with Best Beers to see if they will make us banners like they did last year.
  • Coloring Contest was passed out to Monroe Co. Schools last year, but we did not get any coloring pages back from the schools. We voted to do the coloring contest the day of OMAD and set a coloring station in the 4H building so the kids can still enter in the contest.
  • Jenny Tracy is going to be placing the order for the gifts that we will be passing out in the ceremonies.
  • Patty Moore is getting the confirmation on Police Security for NOV 11, and hand held 2-way radios.

Salute Director-
 
  • Jenny will be placing the order for the gifts we pass out with her own money and OMAD will reimburse her.
  • Jenny will be sending the names of Deployed Soldiers to Karin Contri to get the address labels made.
  • Jenny has sent a email to Grantham University Blue Star Flags to see if we can get them to supply us with the Blue Star Flags for the ceremony, in return that they can set up a booth at OMAD. This could be promising. Keep are fingers crossed.
  • Jenny is working on a list of Soldiers to invite.
VIP Liaison-
 
  • Janice has dropped off a letter to the Mayor, and has not heard back from him. She will go back to the Mayor's office to check back in with him.
  • Janice will order the Governor's proclamation.
 
Warriors Walk-
 
  • Stephanie is going to get a bid on t-shirts from JB at Abracadabra graphics where we had the t-shirts made last year.
  • Karin Contri has a sample of the Warriors walk sign for this year and wasn't able to make the meeting so we will get to see that at the next meeting.
  • Jenny had a thought of getting groups to do the Warrior Walk like IVY TECH, IU Vets Groups ect.. They can do a pledge and bring more money in for OMAD.
 
Treasurer- Michelle Combs 
  • Account Balance $116.44
  • We made approx $100.00 at the Monroe Co. Fair booth.
  • Michelle is working on getting COOKS to sponsor website.
 
Sponsorship-
  • Jenny or Nancy would be able to email you sponsorship forms and the letter from Asthma & Allergy  if you know of someone that may want to give a donation.
  • Jennifer Johanningsmeier is writing up a letter for us to present to business that would donate goods. Such as toys, food for food booth.
 
Bicycle Decorating Contest has been scratched from the schedule.
 
Publicity Director-
  • Mickey will talk to HT newspaper to see if they will donate a 1/2 page for us to put the Warrior Walk Registration form and schedule of events in the paper.
Volunteer Coordinator-
  • Karen will send Shayna a list of all the vendors she knows of that will be coming to OMAD.
  • Shayna needs to prepare a layout of  how many vendors we can fit in the Community building, so we know that we will have enough space.
Silent Auction-
  • Mickey has a 2 night stay for 2 at French Lick, Signed picture of Payton Manning and a lot of other big items coming in.
Carnival Director-
  • We will have 10 games this year and most of them will be different games than we had last year.
  • We need donations for 2 liter bottles of pop for a ring toss game.
  • The 4H junior leaders will be back this year to help out.
Miscellaneous-
  • Patty will get confirmation from the Monroe Co Fair Queen to be at OMAD.
  • Patty will contact  Emergency and Security Volunteers to be at the event.
  • JB May & Gene Moncell will be talking to Owen & Lawrence Co for there participation this year at OMAD.
 Sorry the minutes are getting out so late. I had them all typed up and ready to send and the power went out and I lost everything I had typed. So it took me another week to find time to retype them.

July 21 OMAD Minutes
 
Thank You all for coming to the meeting we had some Legion members back with us and even
a new comer. JB May; Jim Davis; Karin Contri; Karen Gummer; Sherry Gummer; Mickey Hammer;
Terri Languell; Patty Moore; Michelle Combs; Stephanie Ayers & Jenny Tracy.
 
Attendance and Contact information was passed around.
 
Jenny talked about the participation lacking at the meetings. We only have 3 months to get
everything ready, and it's causing Jenny to become very Nervous and Frustrated. Now is
the time we need everyone on board getting things narrowed down for OMAD. We understand
that in the summer months every one is very busy with things. If you are not going to be able
to make it to the meeting please let Jenny know in a email that you will not be able to be there
and let her know where you are with the items you have been tasked with. If you have material
that needs passed out in the meeting please make arrangement to get it to someone coming
to the meeting so they can inform the others of what's going on. It's crunch time.
 
Vice Coordinator
Karen Gummer has organized the  Monroe Co Fair booth schedule. If you can help out by
setting at the booth one night give her a call 360-3654. The fair goes from July 21 to the 28.
There are openings for July 27 and all day on July 28. We have information out about OMAD
and have veterans signing up to be invited to the Blue Star ceremony. In one day we received
over 25 names for the ceremony. We have a lot of veterans out there that would like to be
recognized at this event. So the fair booth is going well.
 
 Allergy & Asthma wrote us a letter of the success they had from OMAD last year due to there
name on the back of the t-shirts for sponsorship. This letter is a great tool for us to pass along
to other sponsors this year. If you would like a copy of this letter let Karen Gummer know and
she will get one to you.
 
 
OMAD Chairperson
Jenny Tracy wants to Thank every one that helped out with the 4th of July Parade. They ran out
of items to pass out early. So next year we will need to buy a lot more than we had this year.
The idea of setting up a booth on the courthouse lawn and sell water or pass out information
that way was brought up. Something to think about for next years parade.
 
Jenny is still in contact with Peggy Welch for the Welcome Letter, Peggy has just been very
busy and not had time to write it up yet.
 
Operations
Stephanie Ayers
The Month by Month task list was talked about:
  • JB May will be doing the Flag Folding and Flag retirement this year at 1:30pm to 2:00pm.
    So the times of the schedule of events will be reworked and passed out at the next meeting.
  • Sherry Gummer and Vonnie Shepherd will have picked out items to purchase for the
    ceremonies by next meeting. These items will be ordered in Aug.
  • Sherry is also going to confirm Larry Cooper to be our Clown again this year.
  • Sherry is getting the list of names together from the FRG's in Lawrence & Owen Co. of
    the soldiers that are deployed so we can invite the families to the Blue Star ceremony.
  • Patty Moore is in charge of getting security from the police dept the day of OMAD, and
    we are going to see if we can get 4 to 6 walky talkies to use in case of a emergency.
  • Amanda Curl will need to put the invitation to the Ceremonies in the newspaper in Sept,
    with a RSVP date by Oct 13 so we can get the certificates made up.
New things were added to the Month by Month task list that we are making for next year. In Sept
we will pass out a new list so we know what we have left to get done.
 
VIP LIAISON
Janice Vermillion was Absent, but Jenny will get in contact with Janice to see if the Mayor,
Governor and any other politicians will be coming to OMAD this year to speak,
and if the Mayor is going to do a proclamation for us again this year.
 
Warriors Walk- need coordinator
Karin Contri will be working on the signs that are carried during the walk. The new idea for this
year is making a master copy of a sign without the names on them and have them copied on
card stock paper and attach paint sticks to hold them up with. The name can be put on them
with a marker the day of the event.
 
Treasurer
Michelle Combs reported the balance is the same as last month.
Earning at Picnic with the Pops was $10.00 and the money from the parade will be added in
for next months meeting.
  • Nancy Hafer needs to turn in her receipts for reimbursements from the Kick off Party. 
 
Sponsorship
Nancy Hafer was Absent, but Jenny passed out sponsorship forms to who was present.
If you would like or need more sponsorship forms please contact Nancy at 327-9789.
  • Nancy is writing up a letter for businesses to donate goods for the OMAD event.
Silent Auction
Mickey Hammer is working on getting items donated. She has a very long list of places she has
inquired for items to auction off. We hope this will be a big success this year. If you know
of any business that might donate something to be auctioned off please ask them or get with
Mickey and she can get with the business for you.
 
Ceremony Director
Mike Pipher was absent.
Pam Thrash is confirmed to be our Emcee.
Guidelines for the Blue Star Ceremony are:
  • The Soldier has to have been deployed within the last 4 years.
  •  Live in Monroe, Owen or Lawrence Co.
 
Philanthropic Director
Terri Languell was present and we talked about getting the word out. REMC newsletter,
Bloomington Library and Realtors magazines ect...
  • Stephanie will contact Gene Moncel about getting a ad in the Realtors Magazine,
    since he is a realtor he should be able to help us out with this.
 
Carnival Director
Jennifer Johanningsmeier was Absent, but she has been working on new games for this years carnival.
We have 2 companies in the Bloomington area that fill game machines, so when Nancy H.
gets the donation letter for goods ready we are hoping to be able to get all the toys we need
for this year donated. This will help out a lot.

MINUTES FOR OMAD JUNE 23, 2007 MEETING

 

Not a lot of people attended I hope that we can have more of you next month at the July 21 at 9:30am American Legion.

Attendance:

Jenny Tracy; Karen Gummer; Stephanie Ayers; Patty Moore; Mickey Hammer; Maria Hilycord; and Amanda Curl.

New Faces are Amanda Curl; she is going to be helping with Publicity

Positions open: Correspondence (Kara Clemens has resigned)

Warrior Walk Director (Christy Shirley has resigned)

Jenny Tracy starts report with checking to see if the Bricks that were won last year were done and up on the Memorial wall. Patty Moore will be checking on that and has concluded that Tim Weaver’s brick is up.  Patty did not find Jim Davis.  We are unsure if paperwork was submitted for this.  Michelle please check to see if money came out of the account last year for Jim Davis brick- check would have been written to Monroe County  Fair.  The winners last year were Tim Weaver and Jim Davis.

4th of July Parade - We have received 15 t-shirts donated by Every Where Signs for us to wear in the Parade, and they also made us a banner that was used at the OMAD kick off party that we will carry in the Parade.   Jenny has bought packets of stamps and coloring crayons that will be passed out along with pin wheels at the Parade. We will attach a card with an OMAD message on these items to help get the OMAD name out there. We have 2) Hummers, color guard and 14 soldiers in the parade with us. Parade Paper work says Line up at 9:00am at Morton St. by City Hall, parade starts at 10:00am.   But we can all meet at 6th & Morton at Cornerstone (Jenny’s work) at 8:30am. We will pass out t-shirts there. Just to be on the safe side wear something patriotic in case we don’t have the right shirt size of you. If you would by chance have a kiddie wagon that we could pull the item to hand out in the parade that would help out a lot.

OMAD Kick off Party went very well and everyone that attended or helped get this event Prepared THANK YOU SO MUCH.

There were 2 articles in Herald Times about this event.

1) June 12 (By Bethany Nolan) “ Military groups hosting fundraiser at the armory Thursday night”

2) June 23 (By Larry Catt) “ Help honor our military and their families”

Both were very good articles, if you would like a copy email Jenny and see will get you the articles, or you can go online and read them at www.heraldtimesonline.

Monroe Co Fair is July 21-29 we would like to put a booth together for this. It was suggested that maybe Peggy Welch would let us have a spot of her table. Mickey will be sending an email to Peggy Welsh to see if this would be possible. Patty is waiting on a call back from the fair office to see if there are any booth area’s available as a back up.

Flyers will be made up by Amanda and Patty will pass them out at the gate during the fair.

Karen is working up the schedule for people to be at the booth during the fair. If you would like to help out with this or know of anyone that would like to give Karen a call and she can set you up with a time that works for you. Karen’s # is 360-3654.

Other ideas that were brought up are:

Would we be interested in having a booth at the National Night Out? This is an event that AMVETS is a part of, but I’m not sure if any of the other Veterans groups are or not. This event is in Aug so we will have more information on this in July’s meeting.

AMVETS has a new motorcycle group started now and Mickey will see if they would like to participate in OMAD.

We will have flyers made up to put around town focusing on several things: Sponsorship, recruiting service members to honor and volunteers for positions. Patty offered to post them, and Amanda will be making them up.

 

Operations - Stephanie has put a time line together that would keep us on track of what month we need to have things done by. There will be an attachment of this guideline in this email. So look it over and make sure that you have your part under control on or by the time it needs to be done so that we can keep on schedule. On the guideline you will see information in red this is how should be working on that task and/or that the task is done. There will be more things added as we go.

In the meeting it was announced that the FRG members will not be able to organize OMAD next year. We have 300 soldiers going to IRAQ next year and they will be so overwhelmed with taking care of families that they cannot take on more. They are all very willing to help out any way they can and will be there the day of OMAD. The hope they have is that one of the Veterans groups will step up and keep OMAD going. So these guidelines will be set for whoever takes OMAD to follow along and help them out. If there are things that are not on the guidelines sheet that need included, please let Stephanie know and she will add them in their appropriate month.

 

Warriors Walk - Need Director = We have a lady that has contacted Jenny to volunteer to help with something which she maybe able to help get the signs together that we carry in the walk, but she wasn’t at last years event and would need some guidance. So we have a helper, we just need the point person.

Treasurer - Account Balance is $892.61, Paid out $96.62 for parade & copies.  Earnings from OMAD Kick off Party $200.00.

 

Sponsorship - Nancy was absent, but if you need sponsorship forms you can contact her at nhafer@ciswired.com or contact Jenny for a phone number for Nancy. Jenny has checked on last year's records to see how much money was brought in for OMAD it was around $5,000, that means we need to double that goal this year.  WE NEED TO COLLECT $10,000 this year OR MORE.

 

Philanthropic Director - Terri Languell was Absent.   On the agenda Jenny has - ways to get the word out:   Now that we have Amanda as the Publicity person Terri needs to contact Amanda at acurl@ciswired.com or 812-585-7930.

Silent Auction items that Mickey is working on are Fourwinds, Fairfield Inn, French Lick and more. We are looking for big items this year since we have Jimmy Dean auctioning them off. This will hopefully bring in more money than last year. Mickey will be sending her list to Karen so they can coordinate all the places they have solicited. If you know of a place that might donate please contact Mickey Hammer.

Vice Coordinator - Karen Gummer

The flyover has been canceled from the schedule of events. IN, IL and OH can’t do it.

Patty will talk to MSG Blubaugh to see if he can arrange a hummer and the climbing wall to be at OMAD this year. Maria will talk with the recruiters that she has contact with to see if they can offer any thing to OMAD.     

Vonnie is working on getting the Honor Guard and Flag Folding contacts so we can get them scheduled to be at OMAD.

        -Things that need focused on:

        -Philanthropic Cause Needs Selected

        -IN National Guard Relief Fund - giving Indiana Soldiers and their families a helping hand.
        The group decided to ask Erin to come and have a booth at the event.

        -Fisher House - Support families whose loved ones are being treated at military and VA hospitals.

        -Operation Purple - National Military Family Association (NMFA) volunteer provides
        educational camps for military children
.

        -The Freedom Alliance - Organizes donations and contributions for our service members,
        and also awards scholarships.

        Roudebush VA Hospital was discussed as another option. The group voted to give donations to
        Roudebush to set up Fisher House in Indiana Mike will ask Roudebush staff to come to next
        meeting to discuss this possibility and answer any questions the group might have.
